Pre-Order Vendor-Fulfillment allows you to create pre-order packages that are fulfilled through one of our partnered vendors.
Like a standard pre-order, this is done by providing your clients with a page through which they can pay for their desired pre-order packages. You can offer add-ons such as retouching for sale through that same page.
You can also import a pre-existing price list’s products into the pre-order as well. All imported e-commerce packages will be converted into pre-order Packages.
By default, your site's Header logo will be automatically displayed in the Pre-orders page and in the order confirmation page. You can upload a different logo for use with pre-order pages.

How It Works:
- Create the pre-order page. This is where you can import a pre-existing price list and its vendor-fulfilled, self-fulfilled, or digital download products.
- Send the link to your clients.
- Your client places their order for their desired packages and add-ons. The profit from this order will be deposited to your Zenfolio account balance.
- Send your clients an invitation to select their photos.
- Review your client’s selections and approve the order.
- The order is sent to the lab(s) to be fulfilled.
Client image selection must be turned on for all vendor-fulfilled pre-orders. Please see this support article for more information.
Alternatively, instead of importing a pre-existing price list you can use Zenfolio’s recommendations for packages and add-ons! Instead of choosing Import Price List you’d select "Zenfolio Recommends" at the top.
"Zenfolio Recommends" are pre-made packages and add-ons that you can add to a vendor fulfilled pre-order. These packages are ready for the photographer to add to their pre-orders.
The use of these pre-filled packages is optional. You can choose to offer all, some or none of the default packages for sale to your clients. You can also edit these packages and set your own prices.
Importing a Price List
- In your Dashboard, click on Selling in the menu across the top.
- Click on Pre-Order. Alternatively, click HERE to go to that page.
- Click on Create a New Pre-Order.
- At the top of your new pre-order, select the Import Price List drop-down menu.
- Select the price list you'd like to import. You can directly edit the titles, photos, and descriptions of packages and add-ons after importing them from your price list.
Customizable Shipping - Hybrid:
If the Pre-Order has more than one (1) self-fulfilled product, the photographer can choose to have all lab-fulfilled items ship directly to them instead of the customer, and have a custom message display at check-out.
- Enter in a custom message. The custom message here will remove the “Shipping” fields at checkout, replacing it with the message you’ve entered.
- Fill out the fields for the shipping address where you’d like the pre-orders to be delivered from the lab.
- Enter the Shipping Fee that your customers will be charged for this pre-order.
- Select Done
The Shipping Fee entered is charged to your customer and credited into your account. Products from the labs are shipped with the lab's most economical shipping fee. Both the Shipping Name and Fee amount will appear at checkout as a line item and will be applied in a single transaction.
The photographer is responsible for the shipping fee from the lab and this will be deducted from your account balance.
Adding a Custom Message to your Pre-Order:
This message will appear on the customer-facing pre-order page, below the logo and above Packages. You can use this space to let your visitor know which school or event the pre-order page is for, to give them specific ordering instructions, or to set expectations.
Client Image Selection:
Client image selection must be turned on for Vendor Fulfillment to work.
Approving Vendor-Fulfilled Pre-Orders:
Instead of going to Pending Orders to approve vendor-fulfilled pre-orders the way you would traditionally for other orders, vendor-fulfilled Pre-Orders are approved from the Preorders tab in your Sales Report.
Here are instructions on approving vendor-fulfilled Pre-Orders:
- From the Dashboard, under the Selling drop-down menu, select Reports & Payouts.
- Under Reports and Payouts select Sales Reports.
- Inside Sales Reports, click on the Preorders tab.
- This is where vendor-fulfilled Pre-Orders waiting for approval will be sent.
Multi-Image and Text Warning:
Some templated package products or add-ons that contain multiple images or require text may not be supported at this time and will not be imported from your selected price list.
Crop Warning:
Pre-Order does not have customer cropping functionality yet, you will need to verify the photo’s placement upon order approval.
No Batch Processing Warning:
Batch processing is unavailable on vendor-fulfilled Pre-Orders.
Split Orders:
If a combination of SF/Vendor Fulfilled products are pre-ordered, the order will be split per the usual guidelines.
The order numbers for vendor fulfilled pre-orders will still be ZFP-XXXX-XXXXX-X

Please be aware of the following fees and costs when selling products through Zenfolio:
There is a commerce fee of 7% per order (calculated on the order sub-total, excluding tax and shipping) and an additional payment processing fee* (calculated on the order total, including tax and shipping).
*The exact Payment Processing Fee differs based on form of payment and location of seller. There may also be a difference in the Payment Processing Fee if the client is deemed international. Click HERE for more information regarding the fees involved with selling.
