Note: This feature is exclusive to Advanced account subscribers.
With Pending Order approval enabled, Advanced plan users are able to edit the order before sending the order to the lab for printing.
During the order approval process, they can make changes to the order such as adjusting cropping and replacing images. They can also give their clients discount on the pending order.
Any discounts added to the order that results in a lower total price for the order will result in a partial refund for the client. Refunds generally take 1-5 business days to process.
Please note that depending on your customer’s credit card company, it may take an additional 2-10 business days after the refund is applied for it to post to their account or statement.
Please note that any discount provided by the photographer are deducted from the profit made on the sale. If the discount is large enough to set the final price paid by the client to below the base lab cost of the products in the order, then the photographer will be the one charged for the difference.
Manually Providing the discount
To provide the discount, the pending order must first be opened for editing.
- In your account, click Selling from the main menu.
- Click on Review and Approve. A page will load with a list of your pending orders.
- Click the desired order's order number to view the order details and open the order for editing.
When providing the discount, the discount can be provided in one of two ways:
The photographer can choose to provide a simple overall discount to the entire order or the shipping costs of the order.
Or the photographer can choose to provide a discount to individual products in the order.
Providing the Discount to the entire Order or to the Shipping of the Order
After opening the order for editing, follow these steps to provide an order wide discount.
- Click on Give Discount. The Give Discount Pop up window will appear.
- Use the Select Coupon drop down menu to choose to apply one of your coupons to the order.
- Click Show Details to review the details of the coupon.
- In lieu of using a coupon, you can also manually provide the discount by entering the discount amount in the Product Discount field.
- If you would like to provide a shipping discount, enter the desired discount amount in the Shipping Discount field.
- Click Set Discount and the order details will be immediately updated with the new totals.
The discounted amount will be provided to the client as a partial refund after the order is approved.
Providing a Discount on the Individual Products in the Order
After opening the order for editing, follow these steps to provide a discount on specific products in the order.
- To the right of the product for which you would like to provide the discount, click on the price displayed under the Item Price column. The change Selling Price window will be displayed.
- Mark the circle for Make this a free Promotional Item to make the item free.
- Or mark the circle for Set the price manually to do just that.
- When choosing the latter, enter the desired discounted Selling Price for the product.
- Click Save.
Set Discount Automatically
While the photographer is given the option to provide a discount, it is not possible for the photographer to charge the client more than what they've already paid for the order.
If the photographer edits the pending order and raises the prices of the products or adds an additional product to the order, it will lead to the total price of the order being higher than the amount paid by the client.
In this case, the system will not allow the photographer to approve the order.
When this happens, the photographer can choose to apply a discount manually to lower the total price of the order or they can use the Set Discount Automatically option. When the latter is utilized, the system calculates the appropriate discount so that the final total for the order is the same as the amount paid by the client for the order.
