The pre-orders feature is available exclusively to Pro and Advanced plan subscribers. Schedule a session to learn more and get Pre-Order setup on your site.
You can set up pre-order packages wherein client can choose their desired images later on sometime after they've placed their pre-order.
Here is the general outline for offering pre-order packages with client image selection:
- Create the pre-order package.
- Enable the setting that allows for client image selection in the pre-order package.
- Send the client a gallery invite email with the pre-order invite email template.
- The client uses the link in the email to select their desired images.
- Review and Export Client Selected Pre-Order Images.
Create the Pre-order Package
- In your account, click on Selling in the menu across the top.
- Click on Pre-Order. Alternatively, click HERE to go to that page.
- Click on Create a New Pre-Order.
- Enter the title for the Pre-order page. This will be displayed to your clients.
- Choose the currency you would like to apply to this preorder.
- Upload a small (300 X 200 pixel) image to use to represent the pre-order package. This is optional.
- Enter the title for the pre-order package that you would like to offer for sale.
- Enter a description for the pre-order package.
- Enter the price that you would like to charge for the pre-order package. Make sure to factor in the cost of shipping the package.
- List the products that are to be included with under each package, Click ⊕ Add a product to add more products.
- Click Add Packages to offer more pre-order packages for sale.

In the Customer-Info section, you can create fields that clients will have to fill out when they order the pre-order package. This allows you to ask for important information such as the client's name, session name, student name, student number, school name, etc.
- Enter the title for the information that you would like to request from the client.
- Toggle the drop down menu icon to provide a drop down menu that provides the clients with preset options to choose.
- Enter the drop down options in the field provided. Separate each option with a comma.
- Enter any other requested info in the fields provided.
- Click X to the right of any unwanted customer question fields to remove them.
- Click Add Customer Info to add more fields to the page.
Click when you're ready to proceed. You can return to this page anytime to edit the pre-order packages and add-ons.
Important Note: the client is only going to be able to select one image for each package and addon that they purchase in their pre-order. It will not be possible for them to select more than one image for each package in the pre-order even if the package contains multiple products.
Setting the Pre-order Package to Allow for Client Image Selection
- Mark the circle for Yes under Do you want your clients to select an image after the shoot?.
- The web address (URL) of the new pre-orders page will be displayed, you can copy the URL to your clipboard for pasting into an email.
- Click on Get Short Link to generate a shorter version of the URL.
- Click on Preview to view the pre-order page.
Inviting the Client to Select Their Images
After the client has placed their order, you can send the client an email inviting them to select their desired images.
You'll need to make sure that the images have already been uploaded to a gallery in your Zenfolio account. Click here to learn how to upload photos to a gallery.
Sending the Invite Email
Select the gallery in the Photos page in Edit View.
Depending on the version of the Photos Page displayed, click on Email Gallery or Invite to start composing the email.
The Compose Email window will appear.
In the Select Email Template drop down menu, select PreOrder Gallery Invite.
- Click on Pre-Orders. The Select Pre-Order window will appear.
- Search for the pre-order using the order number or the client's name.
- Once you've located the order, check the box to the left of the order to select it.
- Click Select.
The PreOrder Invite Email template will load in the Compose Email window.
- Review the body of the email and edit it as needed. Make sure that it includes the password if the gallery is locked with a password.
- Click Continue to Preview to review the email presentation.
Once the email is ready to go, click Send in the Preview Email window.
Client Image Selection Is Now Ready
Once the client receives the email, they can click on the link in the email to choose their images. Click HERE to learn more about how they choose images.
Reviewing and Exporting Client Selected Pre-Order Images
Once the client has made their selections, you can see those selected images and export them in your Sales Reports.
- In Edit View, hover the mouse pointer over Selling. Click on Reports & Payouts in the menu that appears.
- Click on Sales Reports.
- Click on the Preoders tab.
- Search for the order using the search field or limit the date range to find the desired order.
- Click on the order number to open the order.
Once the order has been opened, you can review the order details.
You can also click on Download Pre-order to download the pre-order and the photos that were selected.
- To export multiple orders at once, check the box next to the orders that you would like to export.
- Click on Export.
- You will then be given the option to export the orders with copies of the photos that were selected.
After making your choice, the file will download based on your browser's default file download process. Some browsers will allow you to choose the folder to which you would like to download the file while others will automatically download the file to your Downloads folder.
